Mission
To provide full support in the Dillon Marina rental, retail and administrative department in the absence of the Operations Managers.
Overview
The Marina Administrative Office Lead is a key member of the Marina team, providing support to the Operations Manager in the rental, retail and administrative offices. They must possess strong and enthusiastic leadership qualities and be able to assist in and delegate responsibilities to marina office staff as needed. This individual must possess a high level of knowledge of all the marina products, services and software, and be able to communicate them to employees and marina customers in a helpful and friendly manner.

Qualifications
- High school diploma or equivalent required. Some college education or trade school related courses preferred.
- Exceptional customer service skills required.
- Must be able to communicate with team via a two-way radio professionally.
- Previous supervisory experience preferred.
- High proficiency in the Microsoft Office suite, required.
- Pleasant personality with an ability to work with all types of people required.
- Point of Sale, superior cash handling and organizational skills required.
- Strong problem solving skills required.
- QuickBooks experience preferred.
- Experience in all social media platforms preferred.
- Ability to work independently and with a team to accomplish set goals.
- Ability to communicate in a professional, courteous and timely manner both verbally and written when dealing with Town of Dillon Employees, citizens, customers and vendors.
- Knowledge of standard safety precautions both on and off the water.
- Current Red Cross CPR/AED certified- training provided.
- Ability to speak and understand the English language proficiently.
- Good working knowledge of both powerboat and sailboat operations.
- Previous experience in marina operations and/or marina use.
- Provide support to all other marina departments as needed and as assigned by marina management.
Responsibilities
- Provide assistance to Operations Manager and Marina Administrative Office Coordinator with daily office, retail and rental responsibilities.
- Provide supervision for staff in the absence of Marina Operations Manager.
- Prompt attendance at work is an essential function of this position.
- Perform A/P entry into QuickBooks and submit documentation to Town.
- Perform A/R collections & accurate payment processing.
- Assist with schedule changes.
- Cross train with sailing school to assist in booking and administering tests as needed.
- Gift certificate creation and tracking.
- Filing- Electronic filing of customer files, insurance, retail invoices, etc.
- Provide assistance and leadership to staff with all marina events.
- Collect and maintain current customer account data to include: boat insurance and registration renewals, address and email updates and current invoicing amounts.
- Assist in imputing work orders for service.
- Daily Errands- Bank runs, Post office, Town of Dillon, etc.
- Heavy phone use- Provide accurate information, take boat, slip and tour reservations- Excellent phone etiquette required.
- Obtain advanced knowledge of all marina rates to include: boat rentals and tours, sailing school, dry storage, slips, wait lists, service, retail, etc.
- Obtain advanced knowledge of work order procedures and service rates, and provide assistance to customers throughout the process.
- Supervise and assist in the opening and closing procedures for marina store.
- Supervise and assist in rental boat check-out/ check-in.
- Supervise temporary slip reservations.
- Supervise and assist in the daily reconciliation of Point-of-Sale stations and perform bank deposits.
- Obtain familiarity with Dillon Marina Sailing Quiz and administer as needed.
- Perform ongoing retail inventory control, including check-in, pricing, stocking and selling of all parts and retail merchandise.
- Work with dock and service team to make sure Fareharbor offering are correct and reschedule guests as necessary.
- Supervise and assist in the upkeep of the marina store and office areas: windows, rental counter, retail shelving and floors, as well as recycle and trash disposal throughout building.
- Supervise and assist in re-stocking of all food and beverage products throughout day.
- Supervise and assist in re-stocking & filing of daily paperwork and brochures.
- Assist in the development and promotion of all Marina events.
- Provide support to all other marina departments as needed and as assigned by marina management.
Work Environment/Physical Activities:
- Must be able to work outside in all weather conditions.
- High Risk – Possible contact with various chemicals. Exposure to sun, heat, cold, dust, precipitation, fuel, oil, grease and other conditions and chemicals commonly found in a marine environment.
- Must be capable of operating a variety of equipment, hand & power tools normally found in marina operations. Must be capable of safely maneuvering all vehicles, vessels, and equipment.

While performing the duties of this job, the employee regularly works in outside-weather conditions. The individual may work near moving mechanical parts and is frequently exposed to wet and/or humid conditions. The noise level in the work environment is usually moderate in the office, and moderate to loud while working outside. Hand-eye coordination is necessary to operate a computer, various pieces of office equipment, tools, and vehicles.
While performing the duties of this job, the individual is regularly required to use hands to finger, handle, feel or operate objects, tools, or controls and reach with hands and arms. The individual frequently is required to stand and talk or hear. This position is occasionally required to walk and run; sit; climb or balance; stoop, kneel, crouch, lay down, crawl; and smell.
The employee must frequently lift and/or move up to 115 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The individual must also be able to work under/above/around obstacles.

Motorized vehicles and equipment, common hand and power tools, shovels, wrenches, mobile radio, phone, computer, calculator, and copy/fax machine.
